Keep the LLC's money apart from yours
The foundation of an organized LLC is that business money and your own money never mix. An account in the LLC's name, with its income and its payments, gives every transaction a clear reason, so when you review the year you do not have to guess what was what.
Mixing the two is behind almost every headache: invoices that do not fit, personal expenses among the business ones and accountant questions that take an afternoon to answer. Separating them from day one costs nothing and saves a lot later on. If your LLC has just started, this is the best moment: with few transactions, building the habit takes minutes rather than an afternoon of cleaning up.
A card for the business
With a Mastercard used only for the LLC, every business purchase is recorded in the right account. You can have a physical one for everyday use and a virtual one for subscriptions and online purchases, so that if one is compromised you freeze it from the app without touching the others. That also lets you see at a glance how much of the money went to subscriptions and how much to one-off purchases.
Use the business card for business things and nothing else. It seems a small detail, but it is what makes the monthly summary almost balance itself: if the card belongs to the LLC, everything on it belongs to the LLC. If one day a collaborator needs to pay for something for the business, the cleanest option is to give them their own virtual card rather than share yours.
Expenses up to date, not at the end of the year
Expenses are easier to sort out the same day they happen. A category and the receipt saved, and that is it: software, travel, advertising, suppliers. The Dobits Agent groups charges by category and asks you about the ones it does not recognize, so all you do is confirm or correct.
Keep the receipts for what you pay and what you earn, with the date and the amount. If you work with clients in other countries, keep the original currency too. It is a five-minute weekly habit that turns the year-end close into a calm task. Those five minutes a week are cheaper than any last-minute clean-up, and they let you see the business while you can still change something.
The monthly summary, in five minutes
Once a month, take a moment to go over three things: how much came in, how much went out and which payments are still pending. With expenses up to date, the Agent prepares that summary and you simply read it, question anything that does not add up and save it. What matters about that review is that it is short and regular, because a summary that takes an hour ends up not getting done.
With that summary in hand, conversations with your accountant are short and specific. Dobits organizes the numbers, but the tax decisions for your LLC depend on your situation: always check them with a professional. If you would like to organize your LLC this way, join the waitlist. Save them in a folder for each month and the year-end close will be a sum of summaries you already know, not a surprise.
